Required Qualifications: Bachelor's Degree. In lieu of the degree, an Associate's degree and two years of directly related full time experience may be considered. Two years of directly related full-time, progressively responsible, administrative experience in a large academic setting. Excellent written and verbal communication skills, strong organizational skills, experience with all aspects of educational program and conference planning, and diplomacy in dealing with outside vendors, faculty, students, and administration.
Preferred Qualifications: Four years of directly related full time progressively responsible administrative experience in a large academic setting. Experience in coordinating doctoral education requirements; Experience with the Apply Yourself online application system. Experience with Stony Brook University Graduate School Administration.

Brief Description of Duties: The Staff Assistant will serve as Assistant to the Dean, Coordinator of the Office of Leadership, Diversity and International Conferences; coordinator of continuing educational programs; and as Assistant to the Director of the Doctoral Program. The Staff Assistant will be responsible for the overall administration and coordination of the School of Social Welfare's sponsored external educational programs including continuing education programs and international and national educational programs and conferences. This involves on-site inspections of facilities, reviewing proposals and contracts, preparing master accounts, and preparing all related correspondence. The incumbent will be responsible for all administrative aspects of the School of Social Welfare's Doctoral Program, including managing new graduate student applications, creating and updating databases with applicant information, and communicating with the Stony Brook University Graduate School and its students.
Conference Coordination:

  • Coordinate all conference related activities for the School of Social Welfare (SSW).
  • Work directly with the Dean and those involved in the conference planning to help implement the vision of the program(s) in question.
  • Provide administrative support to the planning and coordination of international, national, and local conferences, including, but not limited to, advertising, budget preparation, hotel arrangements when required, securing facilities and managing the coordination of facilities, including conducting on-site inspections of facilities, and arranging technical support.
  • Review and negotiate all proposals and contracts with off-site locations.
  • Coordinate with the Conference Planning Committee to select conference sites, develop and prepare master accounts including, but not limited to, room reservations, banquet and audiovisual components, for the SSW conferences.
  • Prepare and coordinate logistics for speakers.
  • Develop and oversee conference/course registration process, mailings and program brochures.
Program Coordination:
  • Coordinate all external educational programs activities for the School of Social Welfare.
  • Work directly with faculty and those delivering the continuing educational programs.
  • Play an active role in meetings with the Dean and faculty to help implement the vision of the program(s) in question.
  • Provide administrative support to the continuing education programs including the planning and coordination of the SSW classes abroad including, but not limited to, advertising, budget preparation, hotel arrangements when required, securing facilities and managing the coordination of facilities, including conducting on-site inspections of facilities and arranging technical support.
  • Review and negotiate all proposals and contracts with off-site locations.
  • Coordinate with the Conference Planning Committee to select educational program/conference sites, develop and prepare master accounts for the continuing educational programs including, but not limited to audiovisual components.
  • Prepare and coordinate logistics for speakers and develop and oversee course registration process, mailings, and program brochures
Doctoral Program:
  • Under the direction of the Doctoral Program Director, provide administrative support to the doctoral program by answering questions and advising PhD. students on the administrative process from candidacy to graduation, including, but not limited to, preparing the PhD. policy handbook, overseeing compliance of policies related to admissions, registration progression from candidacy to graduation, preliminary and final dissertations, defense of thesis, coordinate doctoral program orientation, open house sessions, and matters relating to Student Affairs and Student Services.
  • Maintain information on applicants, students, and alumni; manage and review enrollment summaries, transcript information, and preparation of statistical reports.
  • Coordinate Doctoral level Graduate Assistant assignments in accordance with the SSW needs and procedures and interact with the Graduate School regarding Apply Yourself.
  • Other duties as assigned.
Special Notes: This is a part time appointment, 33.75 hours a week. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously.
